Terms of Reference

The Trent HR User Group (THRUG) is the key stakeholders’ group for users of the University’s HR system (Trent HR), managers and administrators who receive and rely upon HR information from the University’s HR system and staff who are responsible for system support and development.

To provide a forum for the exchange of information and experiences relating to the use of the University’s HR system and its role within business processes and procedures.
To consider common problems and consult on preferred solutions with a view to the promotion and application of best practice.
To act as a forum for the dissemination of information on present use and actual or proposed changes and improvements.
To provide a framework in which users are encouraged and enabled to influence improvements and developments in all matters relating to the University’s HR system and to put forward and review suggestions for system enhancements.

Andrew George Corporate Services April 2009	Managers in Hospitality Services would like to see a basic establishment held on Trent, showing post numbers and vacancies so that at any time managers are able to see the costs of running a hall/outlet and senior management and personnel can match a post to a vacant position. (Taking into account the large numbers of staff and staff changes.) There is also a need to have staff establishments maintained for budgeting and monitoring purposes. The staff establishment would be used as the basis for the annual budgets. During the year starters and leavers could be recorded as a basis for updating forecasts. Staff vacancy reports could be updated regularly. Budget staff costs could be compared with payroll costs and reports issued to department managers on request.	Trent HR is unable to ‘forecast’ future payroll costs as they are calculated each time a payroll is run. It would be necessary to create notional future costs based on various assumptions through Business Objects.
Sue Milward, Ian Tilsed, Rob Mitchell Academic Services April 2009	Re position titles on Trent: an interface pulls data from Trent for loading to School web pages; Schools want these webpages to show the specific job title eg 'Lecturer in Astrophysics' whereas Trent records the position title as 'Lecturer'. If Trent recorded the specific job title this information could be pulled through in the interface and appear on the web pages.	To minimise administration, Human Resources use generic position titles for academic roles. Some workflows are linked to the position title of 'Lecturer'. School-specific role titles could be recorded in a 'user defined field' to be maintained by users in Schools or through Trent Self Service.
